Retail employee case tracking: keeping actions moving
Give store managers and HR a clear next action without spreading confidential employee information across email chains.
By Tom, EPL software team · 15 October 2026

A store manager sends a concern to HR, HR asks for information and the reply arrives in a different email chain. The next step becomes hard to see. A shared case record can help when responsibilities are clear and access reflects the sensitivity of the information.
Define the next decision
Give the case a short factual summary and identify what needs to happen next. Distinguish information received from a conclusion reached. For example, an attendance query may need an accurate record and a conversation before anyone decides on formal action.
Give each task an owner
Record who will collect the information, who will speak to the employee and who will review the response. Use deadlines that reflect the situation. A list containing only “HR to deal with it” leaves the store manager unsure what is expected.
Check permissions and closure
Employee relations information should be available only to the people who need it. In an EPL Hub demo, explore cases and tasks with a typical store-to-HR handover. Ask how supporting records are found and what evidence is needed to close an action. Confirm the available permission setup.
Practical checklist
Pilot a simple case workflow. Test handover, restricted access and the final record. Check that managers can find their action without seeing unrelated employee information.
Give retail employee case tracking a clear purpose
Choose a typical handover and write down the next decision before selecting fields. If HR needs a factual account, show who will provide it and when it is expected. Keep a request for information separate from a finding or conclusion. The record should help an authorised colleague understand the current position without searching several email threads.
Test a handover between two stores
Use fictional demo information to follow a case from a store manager to HR and back. Ask a second authorised manager to locate their assigned action. Check whether the same document has been attached twice and which version is current. Discuss the available cases and tasks workflow in the demo, including what needs configuration rather than assuming every escalation is automatic.
Make closure mean something useful
Agree what evidence is needed before an action is marked complete and who will check it. A sent request is not the same as a received response. Keep the outcome understandable for the people with responsibility for the case. Review access when managers move stores and agree how records are retained through the organisation’s established process.
Should the whole store team see an HR case?
Share only the information relevant to each person’s role and restrict confidential case material.
