Employment terms in Ireland: a practical onboarding checklist
Build clear written terms into your hiring process, with named owners and records your managers can find.
Employee Passport · 2 October 2026

Employment terms in Ireland deserve their own onboarding process. A business hiring in the Republic of Ireland should check its documents against Irish requirements before reusing a template prepared for another jurisdiction. Start with the actual role, working arrangements and the person responsible for issuing the paperwork.
Plan for the five-day and one-month deadlines
The Workplace Relations Commission explains that new employees must receive core written terms within five days of starting, followed by the fuller written statement within one month. The core information includes the parties, workplace, role, start date, applicable probation and contract duration, pay and expected hours. Check the WRC’s full list for the particular arrangement, including relevant tips policies.
Use two dated onboarding tasks. Allocate an owner and check completion before each deadline. Do not leave the document with a line manager who assumes somebody else has already sent it.
Match the document to the working arrangement
Walk through a typical week with the hiring manager. Where will the employee work? What hours are expected? Who authorises overtime? Which training will they receive? Flag variable schedules, agency arrangements and applicable sector agreements for a focused review.
For example, a retail manager hiring across several branches can confirm the expected locations and scheduling arrangements before the employee arrives. This is an illustrative management approach, not a description of a client case.
Keep delivery and changes traceable
WRC guidance requires signed and dated statements. Electronic delivery has conditions concerning access, storage, printing and retained proof of transmission or receipt. Changes to written particulars generally need notification by the day the change takes effect, subject to the stated exceptions.
Keep the approved version, delivery record and any later update together. An internal tick showing that a file exists is different from evidence that it reached the employee.
Manager checklist
- Confirm the jurisdiction and employing entity.
- Check actual duties, workplace, pay and hours.
- Review the complete WRC particulars.
- Assign the five-day and one-month tasks.
- Retain the approved document and delivery evidence.
- Review changes before they take effect.
Separate Republic of Ireland and Northern Ireland records
This article concerns the Republic of Ireland. Northern Ireland operates under a separate employment-law framework. Label templates by jurisdiction and confirm the appropriate requirements for cross-border or unusual arrangements.
