Anonymous workplace disclosures: practical approach

A practical approach should separate information that is specific and capable of checking from assertions that require clarification. Dates, systems, transactions or working arrangements described in a report may provide a basis for enquiry without knowing who submitted it.

What to check and record

The decision record should explain which enquiries are proportionate, what cannot be established and why the matter is continued, referred or closed. Access should be limited to those who need it, and a reporter’s identity should not be inferred or exposed unnecessarily. A concern that cannot be substantiated should not automatically be described as deliberately false.

Learning for managers

The lesson is to describe the evidence limit rather than turn it into a conclusion about the reporter. Anonymous information can be incomplete and still identify a matter worth checking. Conversely, detailed wording is not proof of accuracy. A clear account of enquiries and unresolved questions is more informative than a blanket statement that an anonymous complaint was closed.
